Choose the scope, then refine the schedule
What is a commercial maintenance program?
A commercial maintenance program is a defined plan for recurring grounds care. It connects maintained areas and tasks to agreed service intervals, access requirements and approval procedures. The mowing schedule may differ from the schedule for shrubs, bed care or leaf collection.
HLB Services prepares property-specific estimates for commercial lawn and landscape care in the Conroe and Montgomery area. The options below are starting points for building a proposal. Your written agreement establishes the actual work, frequency, pricing and terms.
Three ways to organize the work
Start with the level of care you need.
Commercial Turf Maintenance
A starting scope for properties where mowing and lawn presentation are the primary needs, with landscape beds or other work handled separately.
- Named turf areas and mowing boundaries
- Agreed edging and grass trimming
- Clippings cleared from designated paving
- Defined visit frequency and access
Specify separately: bed work, shrub trimming, leaf collection, materials and initial cleanup.
Discuss a turf maintenance scope →Lawn & Landscape Maintenance
A starting scope for properties needing turf care plus agreed upkeep of selected landscape beds and shrubs.
- Defined routine lawn tasks
- Bed locations and weeding expectations
- Named shrubs and trimming intervals
- Debris handling and approval contacts
Each task gets its own frequency. Materials, major pruning and renovation need specific line items.
Discuss a landscape maintenance scope →Seasonal Care & Enhancements
A way to plan periodic work alongside maintenance or request a one-time project without assuming it belongs in the recurring price.
- Initial cleanup or property reset
- Defined leaf collection cycles
- Mulch renewal and bed refresh
- Requested planting or sod projects
Define quantities, preparation, disposal and approval before work is scheduled.
Discuss seasonal or project work →Compare the scope
See how recurring care and projects fit together.
Use this table to discuss a proposal. An item is included only when it is identified in your accepted scope.
| Work or requirement | Turf maintenance | Lawn & landscape maintenance | Seasonal / project work |
|---|---|---|---|
| Mowing, edging and grass trimming | Primary recurring tasks | Recurring tasks alongside landscape upkeep | Only if the project scope requests them |
| Blowing grass clippings | Designated paved areas | Designated paved areas | Project cleanup as specified |
| Bed weeding and shrub trimming | Separate request | Selected areas on agreed intervals | Defined cleanup or renovation task |
| Leaf collection | Separate request | Include named cycles if selected | Defined collection areas and visits |
| Mulch, plants and sod | Separate materials / project scope | Specific allowance or separate project | Quantities and installation priced for the work |
| Initial overgrowth or neglected areas | Assess before recurring care begins | Assess before recurring care begins | Can be defined as a property reset |
| Frequency | Set for the turf and site | Set by task; not every task every visit | Set by project milestones or agreed cycles |
| Pricing | Custom property estimate | Custom property estimate | Separate estimate or clearly identified line item |
A usable service specification
Put the working details in writing.
A short label such as “full landscape maintenance” can mean different things to different people. A useful proposal describes the grounds and the expected work closely enough that your team can review completion and approve changes.
- Boundaries: mark maintained turf, beds, shrubs and excluded areas.
- Tasks: distinguish grass trimming, shrub work, bed care and cleanup.
- Intervals: state frequency for each recurring task.
- Handling: identify collection, hauling and disposal expectations.
- Access: document operating windows and restricted areas.
- Approvals: name the person who can authorize added work.
Price the actual requirements
Budget for routine care and occasional work.
Maintained area, obstacles, site condition, visit frequency and access affect the recurring scope. Materials, hauling, a one-time cleanup or planting project can add costs beyond routine upkeep.
Ask for recurring care and occasional work to remain identifiable in the proposal. An annual planning budget can help organize priorities, but it does not make every future task part of the maintenance price.
Billing frequency, agreement length, renewal, cancellation and payment terms should be reviewed in the written proposal. A monthly invoice alone does not establish an unlimited number of visits.
Plan ahead without treating every month the same
Build a seasonal work plan.
Review recurring tasks.
Discuss mowing and landscape intervals as growth and site use change. Identify how weather delays, inaccessible areas and proposed adjustments should be communicated.
Name the cleanup cycles.
Define collection areas, the handling method and whether hauling is needed. Seasonal leaf removal should have its own frequency and expectations rather than being implied by “cleanup included.”
Plan approval dates.
Identify mulch renewal, plant replacement or sod projects early enough to review quantities, selections and timing. Agree on watering responsibility and aftercare for new installations.
For fertilization, chemical weed control, irrigation repair, major tree work or other specialty requests, discuss availability, qualifications and pricing separately.
Make the choice practical
Which starting scope fits your property?
Mostly turf, with other work handled separately?
Start with Commercial Turf Maintenance. Define the lawn areas and finishing tasks, then identify any additional services you want priced.
Lawn, beds and shrubs under one scope?
Start with Lawn & Landscape Maintenance. Specify plant areas, task standards and separate intervals rather than assuming the same work occurs every visit.
A backlog or a specific improvement?
Request Seasonal Care & Enhancements. A defined cleanup can establish a better starting condition before recurring service is considered.
Program questions
Clear expectations before recurring service.
Are these fixed packages with published prices?
No. These are starting scopes for custom proposals. Pricing and inclusions depend on the property, maintained areas, requested tasks, service intervals and other requirements.
Is every task performed on every visit?
Not necessarily. Mowing, bed care, shrub trimming and leaf collection can have different intervals. The proposal should identify the schedule for each selected task.
Can we add seasonal work to a recurring program?
Yes. Request it as a defined line item or separate project. Materials, quantities, disposal, timing and approval should be agreed before work is scheduled.
Is fertilization or weed treatment included?
Only if the accepted scope specifically includes the treatment work. Availability, suitability, applicable qualifications, timing and pricing must be confirmed separately.
Do you require an annual agreement?
Agreement length and renewal or cancellation terms are established in the written proposal. Do not assume a specific term from the program name or billing frequency.
What happens when weather affects a visit?
Discuss the communication and rescheduling procedure before accepting a proposal. The response depends on site conditions and the agreed service arrangement; a universal same-day makeup schedule is not promised.
Can we request photos, reports or vendor paperwork?
List those requirements with the request. Reporting formats, insurance documents, onboarding procedures and related costs or availability need to be reviewed before acceptance.
